Group leaders role

A Group Leader’s role is to:

Recruit Group Members

Tell everyone that you’re leading a 40 Hour Famine Group this year!

Do a talk or presentation at your school assembly, church, youth group or organisation, and show segments from The Famine DVD. You can also see the DVD Notes for more info.

Make sure everyone knows what the Famine is, when it's on, and that every $40 they raise will help eight kids for one month.

Once you've got your Group finalised, hand out their Famine Receipt Books and record each Member's details on your Control Sheet. If you are running a school group, you may want to use a different Control Sheet per year level group. Hold onto the Control Sheet/s to record banking amounts for each member and to keep track of who is eligible for awards.

If your school or organisation requires parents or guardians to give written permission for their children to take part in the Famine, you can download a Parent Consent Form (PDF: 267 KB).

Set Group Members' targets

Famine Meter

Help each Group Member work out how much money they'll aim to raise and how many kids this money can help (you can refer to this table). Explain how they can mark their fundraising progress in their Famine Book's Famine Meter (page 30).

Set your Group's target

Once your Group Members have set their individual targets add them up to get your group target. Grab your Group's Famine Meter (on the poster) and write it in.

Work out how many children your $ target can help, based on the fact that $40 helps eight children for one month. If your target is over $480 (helping eight kids for 12 months), increase the number of children your helping (rather than the period of time). Famine funds are used over a 12-month period.

For example:

$2,880 will help 48 kids for 12 months
$5,760 will help 96 kids for 12 months

At the top of the Famine Meter write the Group's target and the number of kids you'll be helping. Divide these figures in half and write them halfway up. For example, if your Group target is $960, write $480 at the halfway point. Then fill in the one-quarter mark, three-quarter mark, and any others you want.

Then display the Famine Meter in a prominent place! Colour in the Famine Meter to regularly track the Group's progress, recording every online, cash and cheque donation.

You can keep track of donations by logging in using your Group Number and Password.

Choose your challenge

Help your Group choose their Famine challenge. They can go without food, technology, furniture or something else that's important to them. (Primary school aged kids can only skip food for 8 hours). You can also encourage Group Members go to the Famine Forum to share ideas and ask questions. Choose people in your group to be official bloggers or photographers, and add myspace.com/40hourfamine as a friend and show us your masterpieces!

Keep them motivated!

Remind your Group about the Famine Awards and encourage them to join the fantastic, utterly-life-changing Youth Ambassador Program.

Keep the energy up by screening parts of the Famine DVD, which includes lots of great messages from India and our Youth Ambassadors which help to support your Famine efforts!

Donations and Banking

Make sure Group Members know how to ask for donations, both online and face to face. Check out info on how to ask for donations here or look up your Famine Book (pages 13 and 14), which explains how to collect donations and write receipts for cash and cheques.

Remind Group Members to collect cash or cheque donations on the spot, and write and give the donor a receipt. Make sure they give online donors their Famine Receipt Book Number so donations are allocated correctly to the Group Member and your Group. They can also email friends and family for donations.

As a Group Leader, you can Log In to access the secure section of the website using your Group Number and Password found on the welcome letter in your Group Leader's Kit. Here you can access your Group bank account and track your daily progress by viewing all the amounts you have paid in at ANZ and online credit card donations (updated in real time).

Banking the money

One of your most important tasks is making sure all your Group's cash and cheque donations are banked by 30 September. Pay in the money in stages and aim to have it all banked before the Famine Weekend.

How to do your Group's banking:

  1. Bank it at ANZ Bank (for cash and cheques): Complete one of the deposit slips in your Pay-in Book and deposit the cash and cheques at any ANZ Bank. Make sure the bank teller stamps one of the banking panels inside the back cover of the Pay-in Book.
  2. Online: To bank cash donations using your credit card, visit Donate Now and select 'I'm a Famine Group Leader depositing donations made to my Group Members'. All deposits made at an ANZ bank will appear when you log in to the secure section of the website (within 48 hours of making the donation).

The sooner you bank the money, the sooner World Vision can help free kids from child labour and trafficking!

Final banking deadline: 30 September 2008

Awards and Administration

To be eligible for awards:

  1. All Control Sheets, Pay-in Books and Receipt Books (containing completed and signed Award Applications) must be sent to World Vision by 30 September AND
  2. All donations must be banked and received by World Vision by the 30 September.

Please note: Do NOT remove the award application form from the Receipt Book.

Famine Awards

You've all successfully finished the Famine – congratulations! Now it's time to thank your Group Members for their efforts. Log in and download, personalise and present Thank You Certificates to all Group Members who have successfully completed the Famine, then congratulate them with big round of applause.

And don't forget those all-important Famine Awards! Make sure you carefully read and follow the instructions on eligibility and how to apply.

After checking that all Famine Award applications are completed correctly, please sign and return them with the Famine Receipt Books (do not remove applications from books) to World Vision by 30 September 2008.

Administration

30 September 2008 is a very important date. By this deadline:

  • All banking must be complete
  • All signed and completed Famine Award applications left inside Receipt Books (for eligible Group Members) must be returned to World Vision
  • All Famine Receipt Books, Control Sheets and Pay-in Books must be returned to World Vision

Put everything in a big envelope and attach the reply paid sticker from your Group Leader's Kit.
